Summary

We have an exciting opportunity available for an Administrative Assistant I working onsite on a Part Time basis up to 20 hours per week in Ann Arbor, primarily performing receptionist duties and coordinating onsite building operations as needed.

The Administrative Assistant I is responsible for performing administrative support tasks that are secretarial in nature for their assigned department leadership or major functional group. The Assistant must be able to exercise professional judgment and confidentiality to complete the day-to-day tasks necessary to facilitate the duties required.

Responsibilities:
Essential Duties and Responsibilities
  • Maintain the strictest of confidentiality while providing administrtaive and secretarial support to include typing, dictation, composing and proofreading correspondence, indexing, and filing documents.
  • Independently modify form letters to fit varying situations and compose correspondence based on knowledge of policy and personal discretion.
  • Interact with and support a diverse group of important external callers and visitors, as well as internal contacts at all levels of the Company.
  • Coordinate information flow and inter-office communication, records, etc. Sort incoming mail determining priority for handling.
  • Answer inquiries and refer callers and visitors to appropriate individuals.
  • Compose and type various styles of documents using programs within Microsoft Office Suite.
  • Maintain calendars for assigned leadership as required.
  • Maintain inventory of office supplies, business forms and letterhead and maintenance of equipment.
  • Schedule and coordinate meetings and appointments.
  • Arrange travel which may include airline, lodging, dining, or ground transportation.
  • Working independently or within a designated team, will be assigned special nonrecurring and ongoing projects; will be expected to assist other department leadership when requested.
  • Adhere to Information Security Policies and ensure that Envision is as secure as possible.
  • Other duties as assigned.

Qualifications


To perform this job successfully, an individual must be able to perform each essential responsibility satisfactorily. The requirements listed below are representative of the knowledge, skills and/or abilities required.


Qualifications:
  • Exceptionally strong written, oral, and interpersonal communication skills.
  • Ability to effectively prioritize and execute tasks in a high-pressure environment.
  • Experience working both independently and in a team-oriented, collaborative environment.
  • Able to work independently with limited supervision.
  • Able to work a part time schedule of up to 20 hours per week.
Education/Experience
  • High School Diploma or General Education Diploma (GED).
  • 2+ years' experience in an administrative supporting role.
  • Experience supporting leadership in a complex, fast moving and dynamic healthcare environment is highly preferred.
  • Knowledge of Microsoft Office Suite to include Word, Excel, PowerPoint, Outlook, and Teams.
  • Comfort level doing Internet research.
