PRIMARY OBJECTIVE OF POSITION: To provide administrative supervision and support to the Tax Group to perform the necessary tax compliance, reporting and planning for FCI clients. Position can be located in either Tacoma, WA or St. Paul, MN

OUTCOMES:

1. Provide day-to-day direction, training, and work direction to ensure all assigned tax department functions are completed accurately and timely for assigned employees.

2. Provide administrative support in a fast paced environment requiring a high level of accuracy, time management and professionalism to the Tax Group for the preparation, processing and filing accurate and timely tax filings for clients.

3. Facilitate recordkeeping as necessary for the Tax Group, including the collection and safekeeping of client tax records and correspondence

4. Demonstrate leadership within the Tax Group to further FCI’s commitment to quality and continuous improvement of client service and work processes.

ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES:

1. Assist with tax department administrative functions including administrative support to the department directors.

2. Provide day-to-day direction to the Tax Assistants, including training, supervising, and assisting tax department staff in the effective performance of their respective areas of accountability. Oversee internal flow of all tax returns in process to ensure timely filing, manage workflow, ensure proper procedures and practices are being adhered to, and address issues to ensure they are resolved timely.

3. Maintain tracking reports for various tax filings as necessary.

4. Provide administrative support to the Tax Group professionals to prepare and file accurate and timely tax filings for clients, including individual, fiduciary, partnership, corporate, foundation and transfer tax filings. This administrative support includes, but is not limited to, the following:

a. Overseeing scanning, copying, logging and filing tax forms, processing refund checks, and correspondence;

b. Sending tax forms and other documents to clients for review and signature;

c. Prepare and review filing letters;

d. Reviewing and preparing as needed additional letters, memoranda, and electronic correspondence;

e. Overseeing maintenance and organization of client tax records and correspondence and other records and files maintained by the Tax Group in accordance with record retention guidelines;

f. Overseeing processing mail sent and received by Tax Group professionals,

g. Overseeing the prioritization of items received and distributing them as needed;

h. Prepare, review, and/or file other tax documents and correspondence as needed.

5. Correspond with clients, FCI staff, outside professionals and the taxing authorities as needed.

6. Assist with administrative tasks associated with the Tax Group professionals’ representing client interests in tax compliance audits.

7. Assist with the formatting, copying and assembly of deliverables to be used in conjunction with client service planning meetings.

8. Assist with preparing select tax forms and filings, including individual and fiduciary tax filings.

9. Complete other departmental functions as assigned including, but not limited to, EFTPS oversight and execution, Schedule K-1 tracking maintenance, non-client beneficiary list maintenance, etc.

10. Complete other miscellaneous projects and participate in company initiatives as assigned.

EDUCATION AND EXPERIENCE:

1. Associate’s degree or equivalent preferred in business, accounting or related.

2. Minimum 3 years related experience required, and minimum 2 years supervisory experience preferred.

3. Intermediate Microsoft Office Suite skills required; experience with tax software preferred.

ENVIRONMENT AND PHYSICAL DEMANDS:

1. Sitting, talking at a moderate volume level, hearing, fingering/grasping constantly

2. Standing, walking, reaching frequently

3. Bending, stooping, kneeling, and crouching as necessary to facilitate filing

4. Lifting up to 25 pounds occasionally

5. Operating audio visual devices and standard office equipment, such as computers, telephones, fax machines, and photocopiers

6. Typing and entering data on a computer at a speed necessary for successful job performance

7. Looking at computer screen regularly

8. Organizing and sorting correspondence and other documents

9. Quiet, professional, results-oriented office environment
