Job Summary:
The After-Hours Coordinator will follow up on any outstanding service requests as well as manage new ones, all while keeping the coordinators and customers updated.
Supervisory Responsibilities:
- None.
Duties/Responsibilities:
- Manage all mailboxes for new service requests and schedule reminders.
- Manage the on-call cell phone and handle new urgent/emergency service requests.
- Listen and respond to all voicemails. Return calls as appropriate and ensure that voicemails are deleted once the relevant action has been completed and information has been noted.
- Manage all requests, regardless of priority, and respond to and/or accept them immediately in accordance with the guidelines outlined in their Customer Profile.
- Obtain specifics about the task scope and the urgency of the request; urgent communication with the caller/requestor is required.
- After creating and dispatching a work order, notify the requestor of the technician's projected arrival time, while updating the customers web-based system, if applicable.
- Follow up on any requests sent via email to on-call follow ups. After following up with the vendor, update the work order comments and tag the appointed coordinator.
- Perform other related duties as assigned.
Required Skills/Abilities:
- Excellent organizational skills, time management and attention to detail.
- Excellent communication and interpersonal skills.
- Ability to maintain good customer relations.
- Strong analytical and problem-solving skills.
- Proficient computer skills with the ability to learn new software
- 2 years dispatch experience required
Education and Experience:
- High school diploma or equivalent.
- Customer service experience required.
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift 15 pounds at times.
