Job description
Reporting to the President, the Executive Assistant (EA) provides support with scheduling, communications, meeting management and event logistics. This role may also provide support and communication with vendors, customers and internal production team.
Duties and responsibilities:
- Scheduling and Communication - Completes a broad variety of administrative tasks for President.
- Plan and coordinate schedules and maintain calendar of appointments.
- Arrange travel plans, itineraries, and agendas.
- Compile documents and research for meetings.
- As requested, record meeting minutes and notes.
- Keep president well-informed on upcoming commitments and responsibilities, follow up appropriately.
- Communicate directly and on behalf of the President.
- Support President with recruitment as needed.
- Support with drafting and compiling necessary documents and managing event details.
- Take notes and track follow up actions with staff and provide status updates to the Executive team.
- Research, prioritize, and follow up on incoming requests, issues, and concerns addressed to the President including those of a sensitive or confidential nature.
- Proofread and edit materials as requested.
Knowledge, Skills and Abilities:
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly, with excellent attention to detail.
- Very strong interpersonal skills, with ability to respond tactfully and diplomatically with a wide range of vendors, executives, customers and mangers.
- Exceptional written and verbal communication skills.
- Demonstrated proactive approaches to independent problem-solving and ability to execute work plans.
- Highly resourceful team player, with the ability to also be extremely effective independently.
- Proven ability to handle confidential information with discretion, adapt to various competing demands, and demonstrate the highest level of service.
- Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment.
Minimum Qualifications:
- College degree preferred.
- Strong work tenure two or more years of experience supporting Executives.
- Strong Analysis skills, proficient in the Microsoft Office Suite/Outlook.
- Knowledge of DME is a plus.
- Knowledge of GSA contracts is a plus.
Job Type: Full-time
Pay: $45,000.00 - $66,000.00 per year
