Role and Responsibilities

SEMCOG (EOE) is seeking an organized and efficient Executive Assistant to support the Executive Director and other assigned leaders. Reporting to the Director, External Affairs, provides multi-faceted administrative support and assistance to ensure effective use of the executive's time and productive interactions with staff and the public. Independently initiates and implements processes to manage projects and information. Manages the executive's schedule, meeting preparations, follow-up tasks, and complex travel arrangements.

Coordinates agency-wide meetings and events by coordinating meeting times; distributing mailings; preparing meeting agendas, minutes, summaries, and other correspondence; making catering and meeting site arrangements; and ordering supplies. Ensure committee information is current by maintaining committee database. Conducts research and gathers information to prepare and provide summaries and reports.

Develops positive and strategic relationships at all levels of the organization. Uses discretion, judgment, and knowledge of the organization to facilitate the executive's activities and maintain confidentiality. Advanced skills in the use of office technology such as Microsoft Office products, including Outlook, Excel, Word, and PowerPoint. Receives and dispatches incoming member requests and communications from SEMCOG’s Information Center. Performs related duties as assigned.

Experience and Qualifications

  • Associate degree in related field preferred.
  • At least three (3) to five (5) years of experience working in local government or related administrative field.
  • Knowledge of office administration, recordkeeping, and board structures and processes.
  • Organization and time management skills, attention to detail, self-motivated, capable of working on multiple tasks, and ability to work cooperatively and collaboratively with internal staff.
  • Effective written, verbal, and presentation skills required, including a working knowledge of Microsoft Office suite (Word, Excel, and PowerPoint).
