Your responsibilities
Summary of Position:
Provides high-level administrative support to Sr. Executive (company’s President & Chief Financial Officer). Perform personalized and confidential administrative duties with discretion and independent judgment and interface with a wide array of people.
Key Responsibilities:
- Promptly receive and screen incoming telephone calls to the Executive, providing friendly and professional greeting, taking messages as appropriate, and eliciting necessary information to allow timely and accurate responses or routing caller to an appropriate staff member. Respond where appropriate.
- Remain aware and update Executive’s schedule (calendar management).
- Monitor and prioritize incoming emails/mail, responding where appropriate.
- Provide accurate word-processing support by composing and/or editing a variety of documents. This includes many highly confidential correspondence, memoranda, contracts and proposals.
- Prepare expense reports and ensure timely reimbursement (in Concur).
- Prepare PowerPoint presentations.
- Organize meetings (internal and external), telephone conferences and/or special events. Arrange for catering, locations, distribution of information with respect to the event and any handouts for the event.
- Develop and maintain well organized filing system that permits easy reference and rapid retrieval of information.
- Assist with general office duties including coping, scanning, digital data storage and retrieving files as requested.
- Special organizational and research projects as directed.
- Arrange domestic and international travel (flights, hotels, ground transportation), restaurant reservations and prepare complex itineraries.
- Handle travel arrangements for board members visiting USA (as needed).
- Order office supplies and manage the level of supplies required.
- Process invoices as required.
- Greet visitors.
- Meets company’s employee attributes / competencies.

Qualifications:
Minimum Requirements:
- Bachelor’s Degree with 5 + years in administrative / executive support.
- Prior experience in a corporate environment.
- Good grasp of the English language, spelling, grammar and punctuation.
- Proficient in Microsoft Office.
- Ability to perform administrative duties with deliberate speed and accuracy without immediate and constant supervision.
- Good record keeping and follow-up skills.
- Strong attention to detail and ability to multi-task.
- Must be diplomatic, tactful and exercise good judgment in recognizing scope of authority and protecting confidential information a must.
