Administrative assistants work closely with managers and co-workers, providing support to ensure efficiency in the workplace and coordinate the day-to-day administrative duties of an organization. Their role can incorporate the responsibilities of a receptionist, too, though administrative assistants often have a leadership position in the office with more detailed tasks, including:

Organizing schedules

Booking travel arrangements

Creating agendas for meetings and conferences

Taking meeting minutes or transcribing phone calls

Drafting memos and company correspondence

Coordinating between departments, leaders or outside vendors

Getting equipment and other materials for new personnel

Ordering and stocking office supplies

Developing spreadsheets

Handling expense reports

Overseeing a department budget

Planning team outings or engagement activities

Improving the administrative process

*Greeting and assisting customers, visitors and guest who come in the office.

*Answering all phone calls, and other forms of communication such as emails and We Chat.

*Making necessary phone calls and other means of communication for the organization of the office.

*Coordinating services such as plumbing, WIFI, phones, computers, Comcast, IT guy, printers, postage machine... Etc.

* Setup and change our multi line phone extensions as needed.

*Sorting all the mail and delivering it who it goes too.

*Snacks and kitchen supply refills, and restroom refills. (Ordering supplies snacks, toilet paper etc.)

*Create all FedEx labels for everyone in the office needing FedEx Services.

*Help to put materials in boxes to have ready be mailed out for everyone in the office with FedEx

*Run errands for the office as needed (key copies, FedEx store, etc.)

*Place supply orders for all locations, for our office and warehouses and keeping track of inventory.

*Data entry all orders on supply logs.

*Add all purchases to expense system.

*Plan, order and pick up Friday lunches.

*Storage room organization, Celebratory decorations management.

*Ordering employee birthday gift cards for all locations.

Job Type: Full-time

Pay: $18.00 - $20.00 per hour

Experience:

  • Microsoft Office: 2 years (Required)
  • Administrative experience: 2 years (Required)

Language:

  • Chinese (Preferred)
