SUMMARY: Under the direction of the Accounting Supervisor, this position is primarily responsible for the input, reconciliations and monitoring of receivables, bank accounts, cash receipts/deposits, as well as a monthly analysis of general ledger accounts to ensure completeness and accuracy of data to serve as input for monthly board and internal reports. Working with the CFO and the accounting supervisor, this employee will assist in providing recommendations for improved financial and operational accounting procedures associated with the preparation of financial statements, annual budgets and cost reduction endeavors.

MINIMUM REQUIREMENTS: Associate degree in accounting with a minimum of three years accounting work experience, or in lieu of no Associate degree, relevant experience as a senior accountant/bookkeeper in a corporate environment is required. A working knowledge of GAAP, GASB, accounting policies and procedures is necessary. An extensive understanding of the monthly and annual accounting cycle as it relates to: receivables, payables, electronic check preparation, electronic payments, electronic deposits, and the preparation of monthly financial reports is required. A thorough working knowledge of corporate accounting software as well as Excel spreadsheet functions such as formulas and pivot tables are prerequisites for this position.

Compliance with minimum standards for screening of mental health personnel as contained in F.S. 394.4572.

DESCRIPTION OF DUTIES AND RESPONSIBILITIES[1]:

ESSENTIAL FUNCTIONS: (Essential functions of this position are listed below. The position also includes additional functions as needed and/or assigned by supervisor.)

1. Budgetary process involvement: gathers, assemble, and format data and prepare analysis for budget preparation; assist in preparation and presentation of preliminary and final budget documents; prepare budget presentation materials; maintain data and systems for budget tracking and reporting; prepare and participate in the preparation of the agency’s budget, including analysis and estimates of expenditures and analysis of projections of revenue. Prepare, monitor and record monthly budgetary allocations based upon established policy.

2. Monitor actual organizational revenue and expense activity monthly to ensure compliance with budgetary projections, identifying potential issues and developing recommendations for solutions.

3. Prepare monthly bank reconciliations for all Agency accounts

4. In conjunction with the Accounting Supervisor and CFO, perform monthly analysis of balance sheet and income statement accounts to ensure completeness and accuracy of general ledger data.

5. Assist in the preparation of the monthly Board financial report.

6. Prepare, monitor, deposit and record daily revenue/cash collections.

7. Monitor and input monthly recurring expenses, including bank and credit card fees.

8. Input monthly journal vouchers to correct entries.

9. Prepare monthly agency invoices as assigned by the Accounting Supervisor.

10. Prepare and distribute monthly financial reports to programs.

11. Assist with financial audits as required by various contracts or programs.

12. Coordinate with other departments to obtain supporting documents.

13. Manage petty cash and change funds.

14. Manage credit card and purchase card accounts.

15. Assist in the development of additional accounting processes/tools to enhance the agency’s financial capabilities as defined by the Accounting Supervisor or CFO.

NON-ESSENTIAL FUNCTIONS:

1. Provide back up for the Accounts Payable Clerk.

2. Provide back up for the Purchasing Clerk.
